M-Track is equipped with a versatile array of inputs to provide the best results with any type of audio source. Each channel offers an XLR input and a balanced 1/4' input. The XLR input is designed to work with microphones or other Lo-Z sources. The phantom power switch delivers 48V to the XLR inputs for use with professional condenser microphones. Recently I led a knowledge transfer campaign aiming to train several colleagues to perform my work tasks. I must admit that despite carefully planning the agenda, training sessions and predicting questions that may be asked I did not foresee the question that was posed the most: 'How do you manage to process so many high complexity tasks in parallel and at the same time keep up with all relevant details, updates, etc.?'

I was surprised to be able to give a single sentence answer, but here it is: I track task progress.

I track a great number of similar, simultaneous tasks at every single step of their progress using a simple table in Excel. My assignment requires an end-to-end administrative ownership of implementations and I would be lost without my DIY tracker sheet which helps me plan, process, monitor and eventually release these projects.

I am happy to share with you how to create a progress tracker like mine in 3 simple steps with Excel.

I. Outline process steps
In order to benefit from a progress tracker, take your time to outline the milestones of your tasks lifecycle. Most recurring, similar tasks have a resemblance in their inner structure. For example, if your task is to do the grocery shopping for the next week, the key points of that task may be:

check current availabilities > make a shopping list > go shopping > transport goods to your home > distribute items to their proper places

You can choose to add to this rather scheme a greater detail by including more points and that would depend on your shopping habits. However, the general actions taken to do this task will be similar to future shopping tasks. The thing is to add as many steps necessary to cover repeating sub-tasks but exclude any specifics that would stress on exceptions rather than on task similarities. You need a general guideline of your parallel projects, going through the same/very similar milestones as they progress.

This is how this principle would look in an Excel tracker table.

II. Indicate the status of task stages
Your tracker table will display a status regarding each progress step so that you will know which project is to which stage at any moment. Personally, I have chosen a set of 4 possible statuses to indicate a task progress. I have figured these are enough to fit the majority of situations and help me identify what needs to be done, what my next action is supposed to be, what is stopping a task from progressing at this point, etc. The statuses I use are:

X – I have not taken any actions concerning that stage yet
O – this stage is in progress, some actions are ongoing. I have taken the actions necessary and now I am waiting for some update (perhaps I cannot finish my shopping list before I get my husband's input or I may be waiting for a client to confirm the project timeframes).
C – this stage is completed
n/a – this stage is not applicable for this particular task

You can incorporate those statuses in a drop-down list for each task stage so that you can easily update them as your task progresses. To do this, select an entire stage column in your Excel tracker table and go to the ‘Data' tab. Murus pro macos firewall unchained 1 4 22. From the ‘Data Validation' drop-down menu, choose ‘Data Validation'. A menu will ask you to choose validation criteria and you need to choose ‘List' (from the ‘Criteria' drop-down menu). A Source filed will then become active and this is where you can add you statuses list. Simply type X, O, C, n/a. Your status drop-down list is now created and you can access it for every single task row you need, individually for each project.

III. Color code it
Color coding makes all stage statuses comprehensible in a single glance. Since I am using only 4 progress indicators, I can get a complete understanding of a task progress by simply looking at the color code of its stages.

To color code your statuses, select all stage columns together and go to the Home tab of your Excel tracker. From the Conditional formatting drop-down menu choose Highlight Cells Rules and then the ‘Text That Contains' option. This option allows you to choose a specific formatting for a key phrase of your choice. I prefer the X stage status to be outlined in red color, so I add the key string X, I navigate to ‘Custom Format' in the drop-down list on the right and then choose a fill from the ‘Fill' tab. You can select whichever option fits your color code preferences and facilitates the way you perceive information visually.

Repeat this step 4 times, until you have assigned color codes to all stage statuses. I prefer mine as shown in Figure 3.

By now you should be the proud owner of a powerful progress tracking tool. Do not hesitate to alter this simple table to your liking by adding colors, comments, description fields, more tabs and so on until you can, like me, say you would be lost without it :)
